How to delete audit trail in QuickBooks? 8 steps to fix your system performance.

How to delete audit trail in QuickBooks

QuickBooks is one of the best accounting software that is designed for smooth financial management of the business. Quickbooks generally allows multiple users to access companies data, if this is so then turning on the QuickBooks Audit Trail feature would be handy.

Are you a Quickbooks user?

With the help of the Audit Trail, you can maintain a record of the changes made by the users to the QuickBooks organization file. In case more than one user is changing the information in QuickBooks, you need to select the check box that says “Use Audit Trail”. You must know one thing that turning on the Audit trial feature will bring down the system speed.

What causes system slow down…?

The major possible reason for the slow performance of the software is that of the file size of the QuickBooks file. And the reason behind the increase of the size of the file is the Audit Trail function in QuickBooks. The feature continuously tracks all transactions, modifications, and deletions taking place in the software. To overcome the file performance issue you would need to clear or delete the company data that is of no use, and this is where audit trail comes into action.

The other reason for the growing size of the QuickBooks company files is due to a large number of closed transactions and unused list elements that build over time. Through condensing your company file, you can filter the audit trail related to the closed transactions. The closed or unused transactions are further moved into the journal entry. The journal entries cannot differ the business accounting but can remove the audit trail for those transactions that are made on the basis of selecting a date in the Condense Data wizard.

Steps to Delete the Audit Trail

  1. Start QuickBooks application
  2. Search to condense data
  3. Follow the file path and click on the Utility tab.
  4. Now click on the condense data file
  5. In case you are using the audit trail feature then the company data files can be accessed over the different system. So, in case you want to delete audit trail then you need to condense the files on the system where your original data is stored.
  6. A window will be displayed asking “What entry would you like to condense”. You will be accorded some options such as the date that can be used to remove or condense transactions or condense all the transactions.
  7. Click Next once you customize preferences
  8. In a new window click Delete/Clear audit trail files
