The user needs to kick this process off by first <a href=\"https:\/\/communityhub.sage.com\/gb\/sage-business-cloud-accounting\/f\/sage-accounting-general-discussion\/135830\/downloading-invoices\" target=\"_blank\" rel=\"noopener\">downloading their invoice data<\/a>. To download their <a href=\"https:\/\/askforaccounting.com\/sage\/invoices-in-sage-50\/\">invoice data<\/a>, the user must follow these steps to be able to successfully download or Import Invoices into Sage 50 to start the process.<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>The first step that needs to be completed by the user to <strong>download their invoice data<\/strong> is to select the <strong>files<\/strong> that they wish to download.<\/li>\n\n\n\n<li>Selecting the checkbox that is located to the left to place a check mark which signifies that the user wants that particular file to be selected.<\/li>\n\n\n\n<li>The prompt will contain a button that says \u2018<strong>Download<\/strong>\u2019, and the prompt should appear at the top of the list.<\/li>\n\n\n\n<li>Upon pressing this button, the user will see a dropdown list on the prompt which will contain various types of file formats that their selected files can be downloaded.<\/li>\n\n\n\n<li>Next, The user must select the file format that they wish to <strong>download<\/strong> their selected files.<\/li>\n\n\n\n<li>After the subsequent step, The user can also go ahead and download all invoices in the \u2018<strong>Inbox<\/strong>\u2019 or the \u2018<strong>Archive<\/strong>\u2019 folders just as easily.<\/li>\n\n\n\n<li>To download all invoices in the \u2018Inbox\u2019 or the \u2018<a href=\"https:\/\/askforaccounting.com\/sage\/archive-data-sage-50\/\">Archive<\/a>\u2019 folders, the user just needs to select \u2018<strong>All<\/strong>\u2019 from the main checkbox, which can be found just above the first invoice of the list.<\/li>\n\n\n\n<li>Thereafter, Clicking on that checkbox will open a dropdown list that will also contain other options such as \u2018<strong>None<\/strong>\u2019, but the user must select \u2018<strong>All<\/strong>\u2019 if they wish to download all invoices in the \u2018<strong>Inbox<\/strong>\u2019 or the \u2018Archive\u2019 folders.<\/li>\n\n\n\n<li>If the user selects all the invoices to download all invoices in the \u2018Inbox\u2019 or the \u2018Archive\u2019 folders, then, in that case, <a href=\"https:\/\/askforaccounting.com\/sage\/import-a-bank-statement-in-sage-50\/\">AutoEntry<\/a> will be bound to only select all of the invoices that are shown on the first page of the \u2018Inbox\u2019 or the \u2018Archive\u2019 folders.<\/li>\n\n\n\n<li>If the number of pages of invoices is more than 1, then the user must click on the link that is located in the yellow banner across the top of the page to select all the invoices that are over and above the first page.<\/li>\n\n\n\n<li>Now, The message in the yellow banner will look like this: \u201c<strong>All xxx invoices<\/strong> on this page are selected. Select all YYY invoices in Inbox\u201d. Here, \u2018xxx\u2019 denotes the number of invoices that are on the page, and \u2018yyy\u2019 denotes the total number of invoices that are in the \u2018Inbox\u2019 folder.<\/li>\n\n\n\n<li>You will get a confirmation message in another yellow banner across the top of the screen. This message will say: \u201c<strong>All YYY invoices<\/strong> are selected. Clear Selection\u201d.<\/li>\n\n\n\n<li>Here, \u2018YYY\u2019 denotes the total number of invoices that are in the \u2018Inbox\u2019 or \u2018Archive\u2019 folder.<\/li>\n\n\n\n<li>The \u2018Clear Selection\u2019 part of the message is a link that the user can press to clear all their selections.<\/li>\n\n\n\n<li>At this point, all the invoices that are present in the \u2018Inbox\u2019 or the \u2018Archive\u2019 folder will have been included in the download.<\/li>\n<\/ul>\n\n\n\n<p>Once the user has successfully downloaded their invoice data without any issues, there is nothing left for them to do but import the downloaded data into Sage 50. Following are the steps that users must follow if they want to be able to Import Invoices into Sage 50 successfully.<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Open Sage 50<\/li>\n\n\n\n<li>Users must go to \u2018<strong>File<\/strong>\u2019, which can be found at the top left in the menu bar.<\/li>\n\n\n\n<li>In the \u2018File\u2019 menu, the user must select \u2018<strong>Import<\/strong>\u2019.<\/li>\n\n\n\n<li>When the user has pressed the \u2018Import\u2019 option, the user will see a window open up in front of them that will explain the fact that <strong>Excel files<\/strong> can be imported containing comma-separated values.&nbsp;<\/li>\n\n\n\n<li>The window will also provide the user with a link that shows the correct import structure.<\/li>\n\n\n\n<li>Once the user has understood the import structure, they can press the \u2018<strong>Next<\/strong>\u2019 button.<\/li>\n\n\n\n<li>Select the type of data that they wish to import.<\/li>\n\n\n\n<li>The user must select the \u2018<strong>Audit Trail transactions<\/strong>\u2019 option from the list.<\/li>\n\n\n\n<li>The user must click \u2018<strong>Browse<\/strong>\u2019, and they also must select \u2018<strong>All Files<\/strong>. Selecting \u2018All Files\u2019 tells the system to look for files of all formats and not just Excel files. The user must then navigate to where they previously saved the data file that they downloaded.<\/li>\n\n\n\n<li>Thereafter, The user will be asked to map the fields in their data to the fields in Sage 50 Accounts after they have opened the file in Sage 50 that they previously downloaded.
