Export reports and lists

You can export the following reports and listings as individual Excel files packaged in a zip file, in a single step. To export a report or list:

  • First, go to Settings, then select Export Data.
  • After that, go to the Reports tab and select the date range.
  • To add or remove items from the Reports and Lists tabs, turn the switch on or off.
  • Lastly, select “Export to Excel“.

Export non-posting transactions and attachments

The Exported reports will contain data from posting transactions such as invoices, receipts, bills, balances, and so on. Here’s how to export data from QuickBooks Online (non-posting data).

Estimates

  • Navigate to Sales, then All Sales.
  • Select Estimates from the Type dropdown menu.
  • Choose a date range from the dropdown menu to get transactions.
  • It should be noted that you can apply more filters as needed.
  • Select the Export to Excel icon. 

Purchase Orders

  • Navigate to Expenses, then Expenses.
  • Choose the Filter dropdown.
  • Select Purchase Order from the Type menu.
  • Set your date range and any further filters you require, then click Apply.
  • Select the Export to Excel icon. 

Customer Statements

  • Navigate to Sales, then Customer.
  • Choose the client whose statement you need to deposit.
  • From the Statements tab, choose the statement you wish to export. Then choose Print or Preview.
  • If you can’t find the statement, change the date range in the Date slider.
  • Select the Download icon. Then choose the folder where you wish to save your work, and then Save.

Attachments

  • Navigate to Settings, then select Attachments.
  • On this screen, pick the attachments you wish to export.
  • Select Batch activities, then Export.

Recurring Templates

  • Go to the Reports menu and then open the Recurring Template List report.
  • Choose the Export icon, then Export to Excel

Chart of Accounts

  • Go to the Reports menu, then look for an account list.
  • Select the Export icon, then Export to Excel.

Products & Services

  • Go to Settings, then Products and Services.
  • Click the More dropdown arrow, then pick Run report.
  • Select the Export icon, then Export to Excel.
